A typical NAES conference presenter agreement includes the following:
- Presenters will register for the conference at the applicable rate and be responsible for all travel arrangements and expenses that they incur. Presenters understand that they will not receive any royalties, honoraria, reimbursement of expenses, or other compensation from NAES in connection with the program or the rights granted below.
- Presenters acknowledge that only two presenters per workshop are eligible for the designated presenter rate. Any additional presenters should register at the published, applicable rate.
- Presenters agree to comply with all program-related deadlines provided to them by NAES, including but not limited to deadlines for handouts, A/V requests, etc.
- During their presentation, presenters will not engage in any type of promotional marketing or selling of any product or service, and will not disparage NAES in any way.
- Presenters agree to notify NAES immediately in the event that an emergency should prevent them from meeting their obligation as presenters.
- Presenters grant to NAES a royalty-free license to use, reproduce and distribute their presentation (including all handouts and PowerPoint presentations) in any way in the future, with appropriate attribution to them. Presenters understand that this license does not change the fact that they retain copyright ownership of their presentation, and does not prohibit them from using their presentation in any way or from allowing others to use it.
- To the best of their knowledge, presenters’ presentations do not violate any proprietary or personal rights of others (including any copyright, trademark and privacy rights), are factually accurate, and contain nothing defamatory or otherwise unlawful. Presenters have the full authority to enter into this agreement and have obtained all necessary permissions or licenses from any individuals or organizations whose material is included or used in their presentation.
- Presenters authorize NAES to use their name, likeness, photograph, and biographical data in connection with the use and promotion of the program.
- Presenters give consent for NAES to record their presentation in audio and/or visual form. Presenters understand that NAES is the sole copyright owner of the recording and can distribute and sell it, along with any supporting materials. In the event that NAES should record their presentation and upon their request, NAES will provide them with one complimentary copy of the recording, which they may use for their personal, archival use (which use includes posting the recording on their website or using the recording in their marketing materials); however, presenters agree not to sell, distribute, or otherwise use the recording in any other way, except with the prior written consent of NAES. Presenters understand that any other recording of their presentation is expressly prohibited. Requests are required within 30 days of the presentation.
