POSITION DESCRIPTION:
The Administrative Assistant for the Admissions Office at Church Farm School is the initial point
of contact for all prospective students and families. The role requires someone who is personable
and possesses a professional attitude, a growth mindset and a strong and consistent work ethic.
This role is primarily responsible for collecting and manipulating all Admissions data and is the
gatekeeper to all Admissions calls.

The Administrative Assistant for the Admissions Office supports the entire Admissions team,
including the Director of Enrollment Management, the Assistant Director of Admissions & Financial
Aid and The Director of Marketing and Communications.

POSITION REQUIREMENTS:
•  Bachelor’s degree or equivalent experience
•  A professional and welcoming attitude and presentation
•  Excellent written and oral communication skills
•  Ability to organize and keep accurate records
•  Database experience preferred
•  Superior organizational skills
•  Possess a growth mindset and enthusiastic, collaborative spirit
•  Must demonstrate proficiency in Microsoft Office, Microsoft Outlook, Google Workspace,
spreadsheets and other internet functions

POSITION RESPONSIBILITIES:
•  Field phone calls as needed in the Admissions suite (live and recorded) and email
inquiries
•  Data collection and upkeep: feeder programs, potential feeders, student/family
•  Create and maintain new application files and inquiries in SchoolAdmin (SIS)
•  Receive and track new admissions documents and update application checklists
•  Prepare files and ensure data accuracy and file integrity for Admissions committee
review
•  Create and manage all appointments and interviews related to the Admissions process
•  Assist with the management of the front desk, lobby, main entrance and answering
telephones
•  Track applicant progress in SchoolAdmin and provide weekly reports to both Admissions and
Marketing departments
•  Create and automate reports, perform data analysis and provide meaningful insight
•  Partner with faculty and staff to orchestrate all prospective family visits to campus and
connect all inquiring families to the next steps of the Admissions process
•  Support the other Admissions professionals in coordinating with families throughout the
Admissions process
•  Assist with implementation of all Admissions activities, including attending planning meetings,
assisting with open house events, orientation, collaborating with campus offices and maintaining a
communications and correspondence schedule
•  Organize and maintain admissions committees, decision roll-out and committee
notifications
•  Coordinate marketing materials and promotional items
•  Serve as strategic triage to address Admissions, marketing and inquiry questions
•  Liaise between various departments to coordinate enrollment, re-enrollment and marketing plans,
among other processes; of particular importance are the Marketing/Communications department,
Development and Business Office
•  Assist in creating a cohesive and efficient one-school Admissions office
•  As a member of the Admissions team, assist in other activities as needed
•  Oversee the office environment, ensuring that it is neat, orderly and welcoming
•  Add value to the Admissions operations daily and work to advance the mission and vision of
Church Farm School
•  Coordinate and schedule meetings, meeting rooms and required equipment for meetings
•  Other duties as assigned
