Executive Assistant to the Head of School and Board of Directors

St. Stephen’s Episcopal School in Austin, Texas, a grades 6-12 day and boarding school of 705 students, is seeking a full-time Executive Assistant.

The Executive Assistant to the Head of School provides comprehensive administrative support for the Head of School, support for the Board of Trustees, and coordination of certain strategic initiatives and institutional projects and programs. The Executive Assistant brings initiative, integrity, professionalism, and good humor to multifaceted and evolving administrative responsibilities. The Executive Assistant supports the Head of School in the day-to-day management of school programs and operations. They also support the work of the Board of Trustees and its standing and ad hoc committees. They support and work with the Head of School, the Board of Trustees, and senior leadership to prepare, carry out, and report on short and long-term projects.

Responsibilities:

  • Support the Head of School’s daily operation of the school, short and long-term goals, and institutional projects through calendar management and scheduling with internal and external constituents; preparing correspondence, documents, reports and presentations; and assisting with meeting preparation and briefings;
  • Support the school’s Board of Trustees, Endowment Fund Board, and executive and eight (8) standing committees through managing meeting and event logistics, assisting with the creation of meeting agendas, compiling and distributing meeting materials, attending all Board and committee meetings, managing A/V and technical meeting requirements, serving as the Recording Secretary by recording meeting minutes, and maintaining Board and institutional records (reports, minutes, and other historical documents);
  • Planning and coordinating the Administrative Retreat, Board of Trustees’ Retreat, Board and committee meetings, and other meetings and events as required by the Head of School;
  • Manage the financial budgets and expenditures for the Head of School, Board of Trustees, and general administration;
  • Oversee and manage accreditation processes and annual reporting, and professional memberships for the school;
  • Manage community-wide events and special projects;
  • Understand and promote the standards and policies of the school, and provide leadership to colleagues and other stakeholders as standards and policies evolve and are implemented;
  • Manage confidential documents, discussions, and situations with discretion, respect, and sensitivity;
  • Foster a partnership between faculty, administrators, and staff and help to create a positive living and learning environment for students and the entire school community;
  • Set an example for the community by upholding the school’s mission, vision, core values and Episcopal identity;
  • Serve as an ambassador of the Head’s office by being diplomatic, accessible, approachable, and by creating a welcoming environment.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration/Management or a related field.
  • A minimum of 5 years of general administrative experience and 3-5 years of experience supporting executive-level professionals. Experience in a school environment is preferred.
  • Excellent verbal and written communication skills.
  • Strong technology skills including demonstrated proficiency with Gmail and Google Workspace, Microsoft 365, and all forms of electronic communication.
  • Demonstrated ability to maintain confidential information, documents, and conversations.
  • Demonstrated ability to prioritize multiple projects and competing deadlines.
  • Willingness and ability to participate in the life of the school and community.
